Explain the business process

Describe the current steps, where information is recorded and what causes difficulty. Include a realistic example and the intended outcome. A list of screens does not fully describe how work moves between people.

Identify users and permissions

List the user groups and the actions each should perform. Decide who can approve, edit, export or administer information. Review access to sensitive employee or customer information early.

Separate essential and later requirements

Identify the functions needed for the first usable release. Additional reporting, integrations and automation can be recorded for subsequent work. This allows the first phase to be estimated and validated with clearer boundaries.

Record integration dependencies

State which systems exchange information, what interfaces are available and who can provide access. Confirm data formats and failure handling. Integration needs technical assessment before it becomes a delivery promise.

Define acceptance and handover

Agree sample workflows, expected results and the people responsible for review. Include deployment, data preparation, training, documentation and support responsibilities. Ownership and licensing should be written into the project agreement.
